Refer Leads in Round Robin Manner

This guide provides step-by-step instructions on how to refer a lead using the system. You can either refer a single lead or multiple leads at once.

  1. Login to the System

  • Access your account and navigate to the filter section.

  • Navigate to the leads section and click on the filter option to refine the list of leads based on your criteria.

  1. Click on the Down Arrow

  • Once the filter is applied, click on the down arrow to access additional actions.

  1. Click on Save List

  • Select the 'Save List' option to store the filtered leads for assignment.

Purpose of Creating a New List

The purpose of creating a new list is to efficiently manage and refer leads to counselors in a structured manner. This feature helps in distributing leads in a round-robin manner to ensure fair allocation and systematic follow-ups.

  1. Open the "Save List of Leads" Window

  • Click on the "Save List" button from the lead management interface.

  1. Select "Create New List" Tab

  • Ensure the "Create New List" option is selected instead of "Merge with Existing List."

  1. Enter a List Name

  • In the "List name" field, enter a meaningful name that represents the leads being referred.

  • Example: "New Admissions Leads" or "Course Inquiry Leads."

  1. Set Visibility

  • The "Visible To" field will show the default user assigned to manage the list.

  1. Define Lead Range

  • Specify the lead range to be included in this list.

  • Example: If there are 4 leads, auto enters "1" as the start and "4" as the end.

  1. Select "Referred To" Counselors

  • Click on the "Select Referred To" dropdown and choose the counselors to whom the leads should be assigned.

  • Leads will be distributed among the selected counselors in a round-robin fashion.

  1. Save the List

  • Click on the "Save List" button to finalize the process.

  • The leads will now be assigned to the selected counselors accordingly.

Why We Use This Feature

  • Fair Allocation: Ensures an equal distribution of leads among counselors.

  • Efficient Lead Management: Helps in organizing and distributing leads systematically.

  • Tracking & Visibility: Allows tracking of assigned leads for better follow-ups.

  • Time-Saving: Reduces manual assignment efforts and automates the process.
