Bulk Lead Upload Process Guide

  1. Access the Bulk Upload Feature

  • Click on the Bulk Upload icon located at the bottom right of your screen, just below the "Add Lead" icon.

  1. Configure Lead Details and Welcome Communication

  • Select Lead Attributes:

    • Choose Channel (e.g., Offline, Online, etc.).

    • Select Source (e.g., Direct Walk-in, Referral, etc.).

    • Set the Status (e.g., 01-Untouched).

    • Choose Sub-Status (e.g., Form Not Registered).

    • Enter details like Form Name, Program Preference, Specialization Preference, and Meeting ID (if applicable).

  1. Enable Welcome Email and SMS (Optional):

  • Check the "Send Welcome Email" box to send a predefined email to the leads.

  • Check the "Send Welcome SMS" box to send a predefined SMS to the leads.

  1. Proceed to the Next Step:

  • Click Next to upload the file and validate the data.

  1. Download and Prepare the Template

  • Download the provided template in .CSV format. Ensure your data is organized according to this template before proceeding.

  1. Fill in the Bulk Upload Template

  • Enter Lead Details:

    • Fill in columns such as Campaign Name, Applicant Name, Mobile No, Email ID, State, City, and Lead Owner as per your lead data.

    • Ensure that each lead entry follows the correct format to avoid errors during upload.

    • Campaign Name: You can enter any name related to the data you are uploading, such as School Campaign Data, Marketing Data, etc.

    • Lead Owner: Enter the counselor's email ID (user email ID) to whom you want to assign this lead.

  1. Save the File:

  • Once all required fields are filled, save the file in .CSV format before proceeding with the upload.

  1. Navigate to the Upload Section:

    • In the "Upload Leads" window, go to Step 7: Upload file with prospect candidate details.

  1. Select the File:

  • Click on the upload field and choose the filled .CSV file from your system.

  • Ensure you are selecting the correct file to avoid data mismatches.

  1. Replace File (if needed):

  • If an incorrect file is uploaded, click on "Replace File" to select the correct one.

  1. Validate the File

  • The system will check for any errors in the uploaded file.

  • If errors are found, review them and make corrections as needed.

  1. Proceed to the Next Step:

  • Once the correct file is uploaded, click on "Next" to proceed with the validation process.

  1. Map the Column Names

  • The system will display Sheet Fields and CRM Fields.

  • Ensure that each sheet field is correctly mapped to the corresponding CRM field.

  • Match the columns from your file to the system’s required fields (Optional):

    • Campaign Name

    • Applicant Name

    • Mobile No

    • Email ID

    • State

    • City

  • Click on the Next button.

  1. Confirm the Bulk Upload

  • A confirmation pop-up will appear, displaying the number of leads ready for upload.

  • Click Confirm to finalize the process.

  1. Upload Completion

  • Once the upload is complete, a success message will appear.

  • The leads are now added to the system and can be managed from the Lead Manager.

Checking Bulk Upload Data in CRM

  1. Navigate to Bulk Actions

  • On the left-side menu, click on Bulk Actions (as highlighted in the screenshot).Navigate to Bulk Actions

  1. Click on the Bulk Upload tab.

  1. Here, you will see a list of uploaded files with the following details:

  • File Name: Name of the uploaded CSV file.

  • Upload Date: The date and time the file was uploaded.

  • Uploaded By: The user who uploaded the file.

  • Total Records: The number of leads in the uploaded file.

  • Status: Indicates whether the upload is Completed or Pending.

  • If the status is Completed, the leads have been successfully uploaded. If there are any errors, you may need to recheck and re-upload the file.

This completes the bulk lead upload process into the CRM.
